Sales Promotion
In international trade, it is very important to establish new business relations and negotiate with customers. Sales promotion plays a key role in developing business, and it is indispensable to a company for its existence and development. Indeed, sales promotion is an important component of a company's marketing communication strategy along with advertising, public relations, and personal selling since they aim to sell particular kinds of goods or services to selected types of customers.
Sales promotion letters are usually written by companies to their potential buyers, former customers and existing ones. The contents of sales promotion letters are different according to the different purposes and different objects. Yet the main purpose of these letters are to persuade the customers to buy your products now or to develop an interest in your products that will induce them to buy later, or to keep the name of your organization in customers' mind, or to get customers to try your products or ask questions about it.
We know that people are motivated by needs. But because their needs differ, people respond to any given message in different ways. Therefore, to write an effective sales promotion letter, it is important that you prepare yourself well. First you must know your products thoroughly. Secondly, you should learn as much about your customers as possible. Finally, you need to learn about your competitors' products.
Generally speaking, sales promotion letters can be divided into three types: sales letters, revive letters and follow-up letters.
A sales letter is mainly written to find new customers so as to begin or expand business. A reviver letter is to retain or regain old customers, whereas a follow-up letter is also for old customers and is to discreetly inquire into the reason why the writer has not received an order.

Dear Mr. Cohen,
As you know, reports from all over the world confirm what we had known before we put the famous “Reliance” solid tyre on the market that it is the fulfillment of every car-owner's dream to have a reliable tyre.
You are well aware of the weakness of the ordinary air-filled tyre—punctures, split outer covers under sudden stress and a tendency to skid on wet road surface, which are only some of the motorist's chief complaints. Our “Reliance” tyre enables to offer your customers a tyre that is beyond criticism in those vital qualities of road-holding and reliability.
We could tell you a great deal more about these tyres, but prefer you to read the enclosed copies of reports from racing drivers, test drivers and motor dealers and manufacturers.
You are already aware of our terms of dealing, but in order to encourage you to lay in a stock of the new solid “Reliance”, we are prepared to allow you a special discount of 5% on any order received by the end of next month.
We are looking forward to hearing from you soon.
Yours sincerely,
Zhong Lida

Dear Sirs,
Last week we sent you our samples and current pricelist for canned fruits in different varieties and flavors which I hope you have already received right now. Our Fuji apple has a strong appeal to customers and is universally acknowledged. We are confident that a trial order would convince you that, at the quoted prices, the goods we are offering are of superior quality and excellent value for money.
Provided you send us an order before the end of September, we would be ready to grant a trade discount of 3% on the original prices. If your order is exceptionally large we will allow another 2% discount. Under the pressure of the rising cost, we shall not find it possible to extend these favorable terms beyond the date. So, why not take this opportunity and send us an immediate order?
We wish to have the opportunity to serve you. Your immediate response in this respect will be highly valued.
Faithfully yours,
James Wang

Dear Sirs,
We wrote you on Oct. 10 in response to your enquiry for personal computer. However, up to now, we have not had the pleasure of hearing from you. Your silence leads us to think that there must be something that precludes you from making further enquiries.
Perhaps it is because the catalogue we sent to you shows only a few types of our products, and it is quite probable that the type in the catalogue is not suitable for your market.
Now we enclose the latest published booklet showing a wide range of personal computers handled by us. If any of the items illustrated in the booklet interests you, please let us know. We will make you offers on receipt of your detailed requirements. We sincerely hope to conclude some satisfactory transactions with you in the near future.
Your favorable reply is appreciated.
Yours faithfully,

Effective Writing Skills
Writing sales promotion letters is necessary for exports in international trade. These letters belong to persuasive messages. Persuasion means a process of changing people's attitudes or influencing their actions, now or in the future. There are three questions to ask before you begin to write a persuasive message: What are you writing about? Whom are you writing to? What do you expect to happen as a result?
Begin every sales promotion letter with an attention-getting statement, which is to convince your buyers right at the beginning that you have something useful or interesting to say. Remember the general sales strategy: analyzing the products; finding the prospects; choosing the appeal and identifying the specific goal.
There are three kinds of sales promotion letters: sales letters, reviver letters and following-up letters.
1. Sales letters
Sales letters are to introduce new products or improved ones to customers, informing them the benefits or discount they can receive if they buy the products. It is a kind of business letter which is mainly to find new customers so as to expand business. Writing sales letters is one of the routine duties of a salesman, for a good sales letter will bring favorable results, creating more chances of business.
The main purpose of sales letters are to persuade the customers to buy your products now or to develop an interest in your products that will induce them to buy later, or to keep the name of your organization in customers' mind, or to get customers to try your products or ask questions about it.
So a good sales letter must follow the principles known as AIDA which is abbreviated from Attention, Interest, Desire and Action. That is to say, you should try to follow the following steps:
(1)catch the readers' attention;
(2)build their interest;
(3)stimulate their desire;
(4)finally encourage their prompt action of purchase.
2. Reviver letters
A Reviver is another kind of business letters which is to retain or regain old customers. Such a letter is to revive their cooperation. It usually contains the following elements:
(1)review the previous good cooperation between the two sides;
(2)add a favorable comment on the goods;
(3)offer a generous discount;
(4)look forward to receiving a new order.
3. Follow-up letters
A follow-up letter is also to retain or regain old customers, and on this basis, the writer discreetly inquires into the reason why the offeror has not received an order from the offeree. That is, the buyer has made an enquiry to the seller, and the seller also has sent him a quotation, but he has not had the pleasure of hearing from the buyer or has had no order for a long time. Such letters should usually include the following steps:
(1)refer to the buyer's inquiry and the seller's quotation(review previous good cooperation);
(2)express regret that no order has been received and assume some possible reasons;
(3)point out some new selling-points(offer a generous discount)and add a favorable comment on the goods;
(4)look forward to receiving a new order.

LOS-8 (3) (A Sales Letter)
Dear Sirs,
Have you ever thought how much time your typist wastes in taking down your letters? It can be as much as a third of the time he spends on correspondence. Why not record your dictation—on our Stenogram—and save the time for other jobs he can be doing while dictation is in progress?
You will be surprised how little it costs. For fifty-two weeks in the year your Stenogram works hard for you, without lunch breaks or holidays. You can't ever give it too much to do. And all for less than an average month's salary for a secretary! It will take your dictation at any time, and anywhere—after office hours, at home, or even while you are traveling. It does away with mistranscriptions in short-hand and can even do away altogether with typewriting since recorded messages can be posted.
The Stenogram is efficient, dependable, timesaving and economical and, backed as it is by our international reputation for reliability, is in regular use in thousands of offices all over the country. It gives superb reproduction quality—every syllable as clear as a bell. It is unbelievably simple to use. You just slip in a pre-loaded cassette, press a button, and your Stenogram is ready to record dictation, instructions, interviews, telephone conversations, or what you will. Nothing could be simpler or more efficient either. Our unique after-sale service contract ensures lasting operation at the peak of efficiency.
Some of your business friends are sure to be using the Stenogram. Ask them about it before you place an order; or, if you prefer, fill in the enclosed prepaid card and we will arrange for Mr. James Baron, our representative for your area, to call and give you a demonstration. Just state a day and time.
Yours sincerely,
